What information do we collect and how?
We collect information that you voluntarily send to us by email and, when a payment is made, information needed to identify and match an Interac e-Transfer.
- Membership: name, email address, membership category and member-list preference; affiliation, postal address and phone only when required to complete or maintain the membership record.
- Payments and contributions: payer name, email address or payment reference, payment purpose and transaction information made available to SRE Montréal.
- Correspondence: information included in emails about questions, activities, proposals, sponsorships or collaboration.
SRE Montréal does not use Google Analytics, advertising cookies or profiling technology on this website. External websites linked from this site may apply their own practices.
Why do we use this information?
- to administer memberships, renewals and member benefits;
- to process and match payments, contributions and payment receipts;
- to respond to requests and organize chapter activities;
- to maintain the local member-list preference selected by a member;
- to meet applicable legal, accounting and administrative obligations.
Who may have access?
Access to SRE Montréal’s organizational account is limited to authorized persons whose functions require it. As of this policy date, primary administrative access is held by the Chapter President.
Administrative information may be stored in the Google account associated with sremontreal@gmail.com, including Gmail and, when necessary, Google Drive. Financial transaction information may also be held by the financial institution that processes the payment.
To administer membership in the SRE network, SRE Montréal may disclose to the Society of Reliability Engineers (SRE.org) the information required for a membership record, including name, email address, membership category and, when required, affiliation, postal address and phone.
Google and the Society of Reliability Engineers may process or store information outside Québec. These disclosures must be assessed and governed in accordance with Québec requirements applicable to personal information disclosed or stored outside Québec.
How long do we keep information?
- Local membership record and administrative correspondence: during membership and generally for up to 24 months after the end of the most recent membership term, unless an administrative or legal requirement justifies a different period.
- Payment, receipt and accounting records: for the period required by applicable tax and accounting laws; SRE Montréal normally applies a six-year period from the end of the fiscal year to which the records relate, subject to any longer legal requirement.
- General inquiries with no ongoing relationship: up to 24 months after the inquiry is closed, unless a longer period is necessary.
Information that is no longer required is securely destroyed, subject to applicable retention obligations. Third parties that legitimately receive information apply their own retention policies.
Access, correction and complaints
You may request access to personal information SRE Montréal holds about you, request correction or updating, withdraw consent where the law permits, or make a privacy complaint.

Our protection practices
SRE Montréal maintains internal rules proportionate to its activities concerning access, retention and destruction, complaint and confidentiality-incident handling, and assessment of disclosures outside Québec. Access is limited to authorized persons and information is used only for identified purposes or as otherwise permitted by law.
